# OrgChat User Guide


# Getting Started - OrgChat Application

This user guide is intended for the end users of the application. This include all day to day users and personals who interact with OrgChat either thru sending or receiving the messages from one of the mediums of the channels of OrgChat.


# Using Web-browser – On Demand Access

You can also use your web browser to access OrgChat anytime anywhere without installing the application. To access your company OrgChat, you would need to input the company’s custom URL into your browser. Here, the window will ask for your login credentials and once logged in, you would be able to see the details or simply click on registration to become a member‌


# Using Desktop Application

To connect to your Company’s OrgChat using the desktop app, you would need to ensure that the application is installed. Please follow the below steps:

1. Download the application by clicking [here](https://orgchat/download) or copy and paste the below link on web browser:
   1. <https://orgchat/download>
2. Install the application by following the wizard
3. Once installed, double click to open it
4. The “Server Connect Screen” will appear.
   1. Enter your custom URL
   2. Click “Connect”
5. Enter your login credentials to log in or register to become member.


# Using Mobile Application

To connect with your OrgChat through Mobile Application, please see the below details

1. Download the application by using the below links:
   1. Android:
      1. Or copy paste this link on your web browser
   2. iOS:
      1. or Copy paste this link on your web browser
2. Once the application is installed, for the first time usage, the application will setup the server connect process.
   1. Press “Connect to Server”
   2. Enter Valid Server Address and click “Connect”
3. Once connected, it will ask to enter your login credentials to sign in or register to become a member

# Automatic Registration

* Company creates an account for you by importing all the members.
* All the members will receive an email with instructions on how to login

# Manual Registration

For manual registration, please follow the below steps:

* Create an account at customized OrgChat URL by providing
  * Name
  * Email
  * Notification channels
    * SMS
    * VoiceMail
    * E-Mails
  * Mobile No. for SMS
  * Mobile No. for VoiceMail
  * Assigned OrgChat Number (have to be given by the organization’s admin)
  * Password
  * Confirm Password

* OrgChat will attempt to verify your email by sending the verification email.
  * Please click on the link in the email and it will generate the validation token.
* Once validated, create
  * Username (depending on availability. This must be unique). The username will be used to tag you in chats and messages.
  * And Display Name (what you want others to see your name tag as). Display name can be similar and exact copy of others. For example, there can be more than one John Doe in the organization.


# Logging into OrgChat

Once the profile is created and authenticated, the users will be able to login to their OrgChat through the customized OrgChat URL

The login screen will show the area where you need to include the assigned Username or Email and the Password

# Forgot Password

* In case if you have forgotten the password, simple click on forgot password on the login screen

* It will show the screen to input the email address associated with your ID. Simply input the email address and click Reset Password

# OrgChat Interface

Depending on the level of user access, the main user dashboard of OrgChat is very simple, easy to understand, navigate, and use. The main dashboard will show the screen similar to below

# User Profile

At the top left corner of the profile, you would be able to see the User Profile. The section would allow to:

* Mark user as
  * Online
  * Away
  * Busy
  * Invisible
  * Custom Status (Edit Status)
* My Account
  * Do the complete setup of the profile with preferences, notifications, and security. Further details are available in the section Edit My Account
* Logout


# Search

Search thru channels, directories, and messages. If you want to search for a specific user or any particular tag in the message, this search will assist you on the request.


# Directory

* Directory is the place where you would be able to see the complete list of all the channels and users
* Along with this, you would also be able to search for a specific Channel and a specific user from this interface.
* As the name says, directory contains the complete list of your assigned channels and groups and people who are in your contact book.

# Sort

* You can sort the resultant/output of the screens anytime depending on you ease. The left menu bar will get refreshed on each sort call. Following sorts are available
  * Sort by Activity

# Create

# Changing Preferences

In preferences, you can make the following changes

* **Language**: Setup the language you wish to see on OrgChat
* **Global Settings:** Remove yourself from list of group(s)
* **Auto Away setup**: Setup the time on which OrgChat should mark you as Away if there is no activity on the Channels
* **Notifications:** Govern how you would want the notifications to be seen and for how long. You can also mark when you would want to see the notification.
* **Messages Delivery and View:** Setup how the messages are seen, Time format, Emoji displays, Avatars displays, Username and role displays and how to send the message.
* **Sidebar options:** If you want to see the discussions of groups on sidebar. You can activate the setup here.
* **Highlights**: You can setup when the highlight trigger should be generated. Whether on name mention, a particular phrase, or an important topic under discussion.
* **Sounds on Notifications:** Whenever the message is delivered, what sound it should play, the volume and which conversations to mute. You can setup those here.
* **Export your Data:** All the conversations and data can be exported either as HTML or JSON which can be used to integrate with other systems.


# Activating Unread Mode:

* To activate Unread Mode, go to **My Account**> **Preferences**. Change the **Sidebar channel list mode** setting to **Unread Rooms Mode**.
* When using the **Unread Mode**, a new section called **Unread** appears on the left sidebar. All channels with unread messages move to this new section until the messages have been reads.


# Notifications Preferences

* **Mute/Receive alerts:** Receive or mute any notifications from a channel.
* **Mute/Receive mentions:** Receive or mute notifications for mentions while receiving notifications for messages in a channel.
* **Hide/Show counter:** Show the number of unread messages for a channel.
* **Notification sound:** Choose a sound for notifications besides the alerts default **Desktop**. Mobile currently supports only the alerts inside your mobile device. You can also select when to play the alert, duration of the alert, and the alert itself.


# Profile

In Profile setup, following actions can be performed:

* Change Avatar
* Display your mood, update the quote of the day, or simple show how your day is going
* Name
* Email
* Password
* Notification setup
  * SMS
  * VoiceMail

# Security

# Personal Access Tokens

Personal access tokens are created when you would want to integrate your personal OrgChat with any external application. For further technical details on how to get this token, please coordinate with your local OrgChat Administrator


# How can I setup SMS and Voice Notifications

Users can interact with their colleagues or peers on OrgChat through multiple of mediums. OrgChat supports

* SMS
* E-Mail
* VoiceMail

Support for each message being sent and/or received by the user. Please do review

# How to Search for Users and Groups

A search will find channels (including the ones you are part of) and users. You can not search inside private channels.

When you click on a search result, the following can happen:

* If the result is a channel, and you already aren’t part of it, you will join that channel;
* If the result is a user, you will start a direct message with that user;

You can search the user you want to talk or click on that user’s avatar and click on the **Conversation Button**.

* To search for channels and users, use the search bar under your account box. Alternatively, you can press Ctrl/Cmd + k to access the search bar quickly.

Just start typing and if it is available, the result will start to populate at the sidebar

# How to Use Directory

* Directory is the place where you would be able to see the complete list of all the channels and users
* Along with this, you would also be able to search for a specific Channel and a specific user from this interface.

As the name says, directory contains the complete list of your assigned channels and groups and people who are in your contact book.

Directory will not show any private Channels and any person who has not shared their user details

* Search in the directory is very simple. On each tab, you just need to start typing and OrgChat will start to filter out the results.

* Same thing is true for Users as well. It will show the result of Users as you type along

# How to Create Channels

* To create a channel, you need to click on the plus + button that is alongside the channel search bar through the main dashboard. On the main dashboard, click Create>Channels

* Options will open up to create:
  * Private Channel: Only visible to specified members
  * Public Channel: Open to all organization.
  * Read Only Channel: Suitable for announcements and voting
  * Broadcast Channel: Essentially the Read only channel but with certain rights and permissions.
    * Users without permission (the same one to post on read-only channels) inside this channel won’t be able to see each other in the user list.
    * Users without permission won’t be able to react to messages.
    * Every message contains a reply button that redirects the user to a direct message with the user that posted the message.
* This channel cannot be converted to a read-only or open channel again.
* Create Channel Name.
* And Invite users you want to include in the channel.


# How to Create Discussions

* Discussions can be created through the main dashboard. On the main dashboard, click Create>Discussion
* Discussions are essentially sub-topics in a given channel. This can be very handy if you want to include specific members for a particular discussion within the channel while keeping all channel members in the loop.

  * Parent Channel or Group Name
  * Discussion Name
  * Invite the members
  * And include a particular message for the members.


# What are Channels

* Channels are chat rooms within OrgChat. All communication within OrgChat gets associated with a particular Channel and it serves as depository for all chats.
* There are three kinds of channels:

  * [private groups](https://umer-baig.gitbook.io/crc/what-are-channels/private-groups), and

# Public channels

* **Public channels** (also called **channels** for short) act as a base for all channel types.
* Anyone at your company can join a channel.
* New members can join a channel and read all the information previously shared by other users.
* Public conversations help you build a knowledge base for your organization with minimal effort.

# Private groups

* **Private groups** are closed channels. They are visible only to their members.
* Use private groups for subjects that are sensitive, confidential, or limited to a small group of members.
* Private groups are joined through invitation only.
* The administrator sets the permissions that determine who can invite others to a private group.
* By default, only administrators, room owners, and moderators can invite others to private rooms.


# Direct Messages

* **Direct messages (DMs)** are a private 1-on-1 conversation between members.
* They can be sent to any user on your server.
* Direct messages can only be read and responded by the members included in the chat. This can be taken as personal messaging.


# What is Channel info

Here you can see all kinds of information about the current channel. If you admin permissions, you can edit this information.

These are the channel info options:

* **Channel Name**: The name of the channel, how users see the title and find the channel via search.
* **Topic**: The topic shows next to the title on the channel header. Great for giving more info about the channel.
* **Announcement**: Announcements post in a bar under the channel header.
* **Description**: The description of the channel.
* **Private**: Tells whether a channel is private, and can set the channel to private or public.
* **Read Only**: Tells whether a channel is read-only, and toggles the read-only status on the channel. In read-only channels, only people with admin permissions can post messages. Good for announcements channels.
* **Archived**: Tells if a channel is archived, and toggles the archived status of a channel. Nobody can post messages in an archived channel, and channel search will not find that channel.
* **Password**: Tells whether a channel has a password and let you set the password. If a channel has a password, other users need to enter the password to become a member of the channel.


# How can I Find Listing channels

* Find public and private channels that you are watching in the left sidebar under the **Channels** sections.
* Public channels are represented by a hash symbol next to the channel name,
* Private channels are represented by a lock.
* Public channels appear first above private channels below them and alphabetically ordered.


# How can I Favorite a Channel

To help organize and prioritize your communications, you can **favorite** (or **star**) channels, private groups, and DMs.

* To favorite a channel, click the **star** icon to the left of the channel header.
* Favoriting a channel moves it to a **Favorites** section on the channels list, making it easier to access and find.

# How would I see Unread messages in Channels

# How can I search for Messages in Channel

* OrgChat search supports basic search commands which work like Gmail search.
* OrgChat also supports the use of “[regular expressions](https://en.wikipedia.org/wiki/Regular_expression).”

# Basic Search Commands

You can use these commands before or after entering search terms:

* from:me to search for messages only created by the current user.
* from:user.name to search for messages created by a specific user. The username entered must be the format without spaces (i.e., “john.doe” and not “John Doe.”) Search for any mentions of a user by searching for their username.
* has:star returns messages that are starred by the current user.
* is:pinned or has:pin returns messages that pin in the current channel.
* has:url or has:link returns messages that contain a link.
* has:location or has:map returns messages that have a location attached.
* before:dd/mm/yyyy, after:dd/mm/yyyy and on:dd/mm/yyyy return message that were created before, after, or on the provided date.\
  Dashes dd-mm-yyyy or dots dd.mm.yyyy can be used instead of slashes. order:asc, order:ascend, or order:ascending sorts messages by ascending timestamp.
* order:desc, order:descend, or order:descending sorts messages by descending timestamp.\
  You can also jump to where a message is located by hovering the mouse over the search result and selecting jump to message.


# How can I see Member of the Channel

* By clicking on the Peoples symbol, you can access the Members’ list

* Here you can see all the users on the channel and see more information about them. If you have the proper permission, you can manage them on your channel.
* At first, the list only shows currently active users. To see all users, click the **show all**.

* To see more information on a user, click their name on the list.
* The user preview screen shows their name, username, any role tags they might have, and their current timezone.

From there, you can:

* Start a direct conversation with the user by clicking the conversation option
* Start a video call with the user
* Set the user as channel owner
* Set the user as a channel’s moderator
* Mute the user
* Remove the user from the channel


# How can I Manage Notifications from particular Channel

You can change the behavior of notifications for channels where you are a member. By default, a channel notifies you whenever someone mentions you or uses the @all mention.

* **Disable Notifications**: Disable all notifications for the channel.
* **Audio**: Select whether the channel will emit a sound whenever someone mentions you or posts a message in that channel. The sound played can be customized.
* **Desktop**: Controls notification behavior when using any desktop app or browser.
* **Mobile**: Controls push notification behavior when using any mobile app.
* **Email**: Set whether an email sends whenever someone mentions you or posts a message, or disable email notifications.
* **Unread Room Status**: Control whether the channel on the channel list highlights when there is a new message or mention.
* **Unread Tray Icon**: Controls whether the tray icon highlights when there are new messages or mentions on the current channel.


# What is Message List Options

This section details a list of all different types of lists specific to channels:

* **Files List**: A list of all the files uploaded to the current channel.
* **Mentions**: All messages that mentioned you on the current channel.
* **Starred Messages**: All messages that you have starred in the current channel.
* **Pinned Messages**: All messages pinned to the current channel.


# What are Prune Messages

* If you are a server admin, or your admin has given you the **clean-channel-history** permission, the **prune messages** option allows you to delete messages from a channel swiftly.

***Note: Messages and files deleted with this option are deleted forever and cannot be recovered.***

Use the following parameters to delete specific messages:

* Newer than: Deletes all messages posted **after** a particular date.
* Older than: Deletes all messages posted **before** a particular date.

Fill dates for both the Newer than and Older than fields to delete all messages.

* Users: Allows you to specify any users to delete the content. When filled with a username, that user’s messages deleted.

Refine the parameters above with the following options. Check each to enable:

* **Inclusive**: Deletes all messages that land on the exact start/end times you have specified in the Newer than and Older than fields.
* **Exclude pinned messages**: Do **not** delete pinned messages.
* **Only remove the attached files, keep messages**: Removes files but not the messages themselves


# How can I use Mentions

* When someone mentions you with @username, @all or @here, a symbol or a number will appear alongside the channel name.
* When mentioned, an @ symbol appears next to your name.
* If someone mentions @all or @here a number will show up showing the number of times the mention is specific to you.


# How can I Join new channels

* There are three ways of joining a public channel; through
  * Search,
  * Invites, or
  * Mentions.
* To search for channels and users, use the search bar under your account box. Alternatively you can press Ctrl/Cmd + k to access the search bar quickly.

* A search will find channels (including the ones you are part of) and users.

**You can not search inside private channels.**

When you click on a search result, the following can happen:

# How Can I Leave Channels

There are two options for leaving a channel:

1. **Hide:** Remain a member of the channel but remove it from your list of channels on the left-hand pane.
2. **Leave:** Remove the channel your list of channels and abdicate membership.

* To leave a channel, you can also enter the command /part or /leave in the message window.

**Every channel has an owner, and the owner of a channel cannot leave a channel until setting someone else as the owner of that channel.**


# How Can I Compose Messages

* To compose a message in OrgChat, go to the channel or user you want to send a message. Type in the message box and press Enter or the **Send** Button.

* If you want to add new lines of text, press Shift + Enter to add a new line.


# How Can I Send Attachments In Messages

* You can send a variety of attachments on your messages, like files, audio, links, videos, and many more.
* To access the attachment menu you can, click on the **plus** (+) icon on the message input.

# Send Files

* You can select files using three methods:
  * By choosing the **Select Files from Computer** option from the attachment menu
  * By dragging and dropping the file
  * By pasting an image from the clipboard
* After selecting the file, add a name and a description of the file and press **Send**.


# Send Audio

**When using OrgChat through a web browser, you have to give OrgChat permission to use your microphone.**

* To start recording, you can
  * click on the **Create new Audio Message**
  * The option in the attachment menu or
  * The microphone inside the message box.

* To stop recording, click the green checkmark.
* The audio message automatically sends.
* You can choose to play or download the message.


# Send Video

**When using OrgChat through a web browser give OrgChat permission to use your webcam.**

* To start recording, click on the **Create new Video Message** option in the attachment menu, then click the red circle icon.

* While recording, a stop button appears. To end the recording, press **Stop**.
* Preview the video you recorded by pressing **Ok**.
* A window appears where you can watch, download, and name the video.
* To send the video, click **Send** or click **Cancel** to discard the video.


# Send Links

* URL’s to other sites automatically generate a preview of that site’s content.
* Copy and paste the link into the message box to create the preview.

# Send Emoji

* To insert an emoji, click the **smiley face icon** in the message box, browse through emoji using the icon categories or through the search box.

* You can also insert emojis by inputting an [emoji code](https://www.webfx.com/tools/emoji-cheat-sheet/).

#### Emoticons

* OrgChat changes common emoticons, or symbols used to represent emoji, to the equivalent emoji. For example, :) converts to the :smiley: emoji.

#### Disabling emojis

* Emojis can be enabled/disabled in [Your Account](broken://pages/-M9cL2cqajKf8C0eZ4Wt#_Changing_Preferences) settings under the **Messages** section.

* When graphical emojis are disabled, emoji keywords and shortcuts display as regular text.


# My Messages Formatting Commands

Use the following symbols to format text as desired:

* Bold: \*txt\*
* Italic: \_txt\_
* Strike: \~txt\~
* Inline code: \`txt\`
* Image: !\[Alt text]\(<https://mychat.church/favicon.ico>)
* Link: \[txt]\(<https://mychat.church/>) or [https://mychat.church/ |txt](https://mychat.church/%20|txt)


# How Can I Edit My Sent Messages

* To edit a message, click on the **edit** option on the message actions menu.
* You can also place your cursor in the message box and press the **Up arrow** to edit your last message.

**Administrators can set the permissions for who can edit messages from other users. By default, only administrators, moderators, and owners of the channels can edit messages from other users.**


# How can I Delete My Messages

* Pin a message to a channel to make that message easily accessible to all users on the channel.

* To pin a message, select the **Pin Message** option in the message actions menu. Remove already pinned messages by selecting **Remove Pin**.

**Administrators can set the permissions for who can pin messages in a channel. By default, only administrators, moderators, and owners of the channel can pin messages.**

* To add a reaction to a message, go to the message, click on the **smiley face icon** on the right of the message and then choose an emoji.

* When you want to reply to a message by quoting from another user.
* The reply automatically triggers a notification sent to the message’s original author.
* There are two options for replies:
  * Use **Reply in Thread** to start a new thread underneath the original message. Threads create a string of messages that quote the original.

# How Can I Use Voice Conferencing of OrgChat

OrgChat provides the functionality thru which users can either create a Video Conference with their Peers or they can join the on-going one.

* Go to the channel or user that you want to start a video conference.
* Access the channel actions menu and then select **Video Chat**.
* An OrgChat meet starts in a new tab or through the OrgChat app on mobile.

# How can External Users Interact and Respond to OrgChat

OrgChat gives the capabilities to include external users in the conversation and they can respond to the messages on public or private channel as long as they have the channel number. The messages send thru external users on the channel are available for all the users on that chat channel.

* Locate the channel number as indicated at the top of the channel bar

* This number can be used to send SMS and/or Fax which will be received on this channel as a message.

# Receiving SMS from External User

When the external user sends SMS or Fax message to the channel, using the channel number, it appears as a message on that channel

* User creates a new message on their phone as normal SMS, use the number of channel as recipient, type in the message and send
